Description Clinical Schedulerr Summary:
Responsible for scheduling of in and out patient procedures performed by the EKG Laboratory including stress testing, Cardiac Graphics Laboratory, and Non Invasive Vascular Laboratory; schedule preparation and scheduling data collection. Provides secretarial support to Cardiac & Vascular Services as needed.

Essential Duties and Responsibilities:
1. Coordinates incoming requests for Cardiac & Vascular Services relative to room allocation, supplies, and technician availability and capability for inpatient and outpatient.
1.1 Communicates consistently with EKG and Cardiovascular Technicians relative to scheduling and reporting activities.
1.2 Schedules inpatients and outpatients in accordance with scheduling guidelines, with the ability to prioritize according to patient needs.
1.3 Returns scheduling calls promptly and courteously.
1.4 When scheduling inpatients, notifies appropriate unit clerk of scheduled appointment time and transportation mode.
1.5 Publishes and distributes Cardiac & Vascular Services schedules with corresponding written orders.
1.6 Identifies and communicates need for scheduling modifications and development.
1.7 Communicates perceived problem issues to Administrative Supervisor.
1.8 Generates corrected schedules, notifying appropriate personnel of any scheduling change in a timely fashion.
1.9 Attempts to optimize and increase efficiency of study or procedure by recommending potential alternatives.

2. Consults with physician’s office to ensure written orders exist and obtain them as needed. Verifies written orders with physician for accuracy and ensures that written orders match schedules.
2.1 Upon receiving the written order, verifies completeness, notifying ordering physician of any inaccuracies.
2.2 Documents receipt of written order. Establishes and maintains filing system to ensure expeditious retrieval.
2.3 Performs daily audits to verify receipt of written orders, notifying ordering physician when one has not been received.

3. Verifies medical appropriateness based on department guidelines and updates schedule.
3.1 Assists in ensuring all outpatient procedures meet medical necessity requirements prior to scheduling the procedure.

4. Screens telephone calls and ensure accurate and timely communication.
4.1 Inform appropriate personnel of patient arrival for appointment and forwards corresponding paperwork.
4.2 Answers all phone calls in a timely and courteous manner, identifying self and unit at all times.
4.3 Screens, evaluates, and prioritizes all incoming telephone calls in such a way that urgent situations related to the provision of patient care are handled in an appropriate manner.
4.4 Refers phone calls to proper personnel in a timely manner.
4.5 Receives and responds to patient and staff needs and complaints appropriately within the realm of the “patient care” environment, involving department supervisors and patient representative as needed.
4.6 Ensures phone mail status is appropriate at all times (i.e. phone mail is turned off at the beginning of each working day). Follows up or forwards phone mail messages in a timely fashion.
4.7 Participates in rotation for coverage of the reception area to provide the department with staffing reception area at all times.

5. Assists with effective utilization of staff time.
5.1 Calls outpatients the day before their scheduled appointment verifying their commitment and rescheduling when appropriate.
5.2 Assists with identifying potential available patients to be rescheduled during scheduling crisis, and attempts to contact patient when necessary.
5.3 Establishes and maintains a recording keeping system for appointment wait times for all outpatient procedures.

6. Maintains responsibility for general secretarial support functions to Cardiac & Vascular Services to ensure efficient departmental operations.

7. Assures that the printers, copier, and computers receive proper maintenance (ex. toner kits, printer paper, copier paper, etc.) to allow for their continued operation.

8. Maintains a level of supplies needed for secretarial area by notifying Administrative Supervisor of any shortages (i.e. letterhead, envelopes, etc.)

9. Continually seeks education and training opportunities.

10. Participates in on-going education activities to develop, maintain, and enhance professional expertise as monitored by supervision.

Position Requirements Education and Experience:
High School or equivalent level of education.
Two (2) years relevant experience.
Certificates, Licenses, Registrations:
None required.
Other Qualifications:
Ability to type 35 wpm required.
Knowledge and understanding of medical terminology.
