Description Staff Assistant Summary: Provides secretarial support for the Directors, Managers, and other personnel that are assigned directly to this staff assistant in order to support the Nursing Department. Essential Duties and Responsibilities: include the following. Other duties may be assigned. 1.0 Completes activities involved in the preparation of written correspondence to facilitate effective communications in departmental operations. · Composes and types correspondence such as letters, memoranda, policies, procedures, reports, etc. from notes, drafts or dictation, in an accurate, neat and timely manner as assigned and proof reads for accuracy prior to submittal or distribution. · Compiles accurate data as assigned. Formulates in final report form (i.e. biweekly reports, snapshot reports, attendance reports). · Accurately records and transcribes or transcribes from others notes, minutes of meetings as necessary. Maintains and/or distributes minutes within the framework of established guidelines for the units supported. 2.0 Maintains departmental payroll and personnel records to ensure of accuracy of data · Processes and maintains personnel records which accurately reflect personnel activity, current status, and historical profiles. · Enters monthly staff schedules into One Staff. · Compiles data daily from assignment sheets into One Staff and Kronos. Reviews payroll reports for accuracy. · Distributes paychecks according to department and institutional guidelines and resolves related errors in a timely manner. · Maintains updated database in Net Learning for all departmental employees. Maintains accurate database for all inservices/classes not included in Net Learning. · Records and monitors FMLA/STD usage and creates bi-weekly reports for managers/directors. 3.0 Provides support with purchasing and billing processes. · Processes requisitions to purchase manually or electronically in accordance with predetermined ordering practices. · Reconciles Director and Manager purchasing card reports with Finance. · Processes invoices for payment. 4.0 Maintains appropriate records and establishes filing systems to ensure the expeditious retrieval so that Directors and staff can accomplish their responsibilities. · Files all correspondence, policies, reports, forms, employee records, etc. in appropriate location in an orderly fashion. · Coordinates the duplication and collection of materials on a regular basis, filing masters or copies as appropriate. · Assists in opening and reviewing incoming mail and routes to appropriate person in a timely manner after receipt of mail. Handles all outgoing mail from assigned personnel. · Prepares and forwards signature cards for purchasing and key control forms, as needed. 5.0 Determines priorities and completes general secretarial support functions for assigned directors and staff to ensure efficient utilization of time. · Schedules meetings, arranges seminars and speakers, processes travel requests and arrangements maintains appointment calendars, documenting accurate times and contacting appropriate individuals. · Assigns priorities to routine work from directors/managers/staff supported and makes decisions as to how the work is to be accomplished. Must be able to reconcile conflicting assignments and justify decisions. · Answers phone in courteous, timely manner. Routes messages accurately and in timely manner. 6.0 Other related duties/projects assigned. Position Requirements Education and Experience: · High School diploma or equivalent plus two years additional training or related experience. · Good Verbal and writing skills. · Must be able to type at least 35 wpm. · Basic math skills. · Previous experience with Payroll preferred. · Basic computer knowledge and ability to operate standard office software. · Knowledge of medical terminology helpful.
