Description Accounts Payable Representative Summary:
Performs accounting and clerical duties. Coordinates offices procedures to ensure accurate and timely processing of invoices for payment. Receives vendor and department inquiries and takes necessary action to satisfy the inquiry. Maintains records and filing system.

Essential Duties and Responsibilities: include the following. Other duties may be assigned.

1. Maintains unit records and filing systems to ensure the ability to retrieve information so the Director and staff can accomplish their responsibilities.

Maintains the storage of all documents according to departmental procedures.
Coordinates the retrieval and duplication of materials needed by departments for various reporting requirements.
Matches check copies to vouchers for easy retrieval.
Works vendor statements to ensure all invoices are processed.
Other duties may be assigned.

2. Coordinates activities involved in the preparation of invoices to facilitate efficient department operations.

Examines incoming mail for discounted and contract invoices and enters them into Lawson within 3-5 days of receipt.
Enter wire transferred invoices and payments into the LAWSON system.
Performs Invoice upload functions from Excel to the LAWSON System.
Analyze and document lost discounts with the manager.
Analyze and document the PO135 (invoiced not received) report with manager.
Monitor, reconcile, trouble shoot and verify the EDI invoicing.
Manage returns in the LAWSON module by contacting vendors for credit due on returned merchandise.
Monitor invoice-pricing module by contacting vendors for credits to adjust invoices for pricing.
Contact vendors for a W-9 for tax reporting.
Research items that have been received and validated in the LAWSON system but have not been invoiced.
Process the patient refund interface into the LAWSON system.
Files vouchers in a prepayment file for easy retrieval for check disbursement.

3. Follows departmental procedures and hospital policies to assure accurate and timely payments to vendors.

Process payments with less than 2% error rate.
Process direct vouchers in Lawson
In absence of Manager, performs check writing duties.

Position Requirements Education and Experience:
• High school diploma with one year of Accounts Payable experience in an oracle based system or comparable accounting related experience.

• None

Other Qualifications Preferred:
? Ability to use and understand Lawson Financial software.
? Ability to analyze, perform problem solving and correct problems occurring during the Accounts Payable process.
? Ability to communicate with vendors and individuals to resolve problems and issues arising from individuals requesting payment.
• Ability to determine if a transaction is taxable according to State of WV guidelines.
• Proficiency in Excel. Must have the ability to perform Excel functions at a moderate to high level.
• Proficiency in Access.
• Knowledge of 1099 income reporting according to IRS regulations.
