Description Client Services Representative Summary:
Provides timely pickup and delivery of all biological samples from the client to West Virginia University Hospitals, adhering to prescribed transportation criteria and laboratory policies. In addition, the individual will deliver reports and supplies to clients and will adhere to all hospital and departmental policies and procedures.

Essential Duties and Responsibilities: include the following. Other duties may be assigned.


1.0 Receives and transports specimens, reports, supplies, and other documents, as described in the SOP's.

1.1 Accepts requisitions and patient specimens for testing that are properly collected and labeled, in accordance with established laboratory policies.

1.2 Maintains a close client relationship with their assigned clients in order to troubleshoot any issues regarding UML.

1.3 Refers technical problems to the Pathologist, Administrative Director and/or Manager.

1.4 Demonstrates a working knowledge of regulations for transporting biohazardous or radioactive materials, flammables, and carcinogens.

1.5 Follows the predetermined courier route to the client's destination, as documented by travel log and delivery times.

1.6 Restocks materials and supplies to the clients work area as needed.

1.7 Perform on a daily basis routine cleaning of vehicle and transport carriers

1.8 Operates the company vehicle according to state and federal laws.

2.0 Responsible for specific tasks that enable “clean and complete” claims to be sent to specific insurance payers

2.1 Inputs registration of patient demographic information, including billing information (i.e. insurance information) into the hospital billing system.

2.2 Enters billing information (i.e. ICD-9 codes) and abstracts tests in the hospital billing system in order to achieve a “clean” claim to be sent to insurance payer.

2.3 Reconciles contracted phlebotomy group bills against the Ruby LIS system to verify test was performed, thus allowing payment to be generated.

2.4 Helps to troubleshoot any patient insurance and billing issues.

2.5 Reviews daily Medipac reports (when assigned by Manager or Lead Client Service Representative) including but not limited to the Pre-bill Edit Medical Records report

3.0 Performs required quality checks and documentation as required by SOP's.

3.1 Maintains all specimen logs and records accurately, neatly and legibly in ink (unless otherwise required), 100% of the time.

3.2 Assures the hospital vehicle has received needed maintenance and scheduled repairs, and documents unscheduled maintenance.

3.3 Must demonstrate, after receiving instruction and training, knowledge of the patient care requirements for all age groups as required by the laboratory standard operating procedures.

3.4 Ability to work independently of direct supervision.

3.5 Records all deviations from standards for proper specimens (as per SOP's) and indicates action taken and rationale for action.

4.0 Utilizes time, materials and resources in an economical manner, prioritizing the clients needs and requests.

4.1 Minimizes waste of time, materials and resources.

4.2 Promptly prepares patient specimens, to reduce wastage, unnecessary requests for additional specimens, and undue delays in transporting specimens, reports and supplies, in accordance with the standard operating policies and procedures.

5.0 Maintains effective communication with the Administrative Director, Manager, or Medical Director to assure dissemination of information and the identification of problems in support of the hospital's mission of patient care.

5.1 Answers the telephone in a prompt and courteous manner, identifying self and unit.

5.2 Effectively communicates in a timely manner any unusual supply usage or critical supply levels to the supervisor to expedite ordering of required supplies for the continual service needs of patients, 100% of the time.

5.3 Refers to the Medical Director, Administrative Director, or Manager, medical problems, and unusual patient information.

5.4 Reports any vehicular accident to the Administrative Director/Manager as soon as possible.

Position Requirements Education and Experience:
High School Diploma or GED, is preferred, or a combination of education and experience from which comparable knowledge and abilities can be acquired is necessary.
Six months to one year experience in a pathology laboratory or equivalent educational experience in a related science preferred.

Certificates, Licenses, Registrations:
Posses a valid driver’s license.
